What Should You Check in a Wedding Hotel Contract?

The short answer
A wedding hotel contract should be reviewed beyond the room rate and ballroom rental. Check room-block obligations, attrition, cutoff dates, service charges, taxes, parking, breakfast, bar labor, security, setup access, welcome-bag delivery, outside-vendor rules and the financial effect of changing the schedule.
Hotel contracts often combine two agreements: one for guest rooms and one for events. Each has its own obligations, deadlines and fees. Reading them together, before signing, is what prevents surprises when the guest list or the schedule changes. This page is planning guidance, not legal advice.
What does attrition mean?
Attrition is the share of a room block the family agrees to fill; if fewer rooms are booked than promised, the difference may be charged.
Check the percentage of the block you are responsible for, the date it is measured, whether rooms booked outside the block count toward it, and whether unsold rooms can be released without penalty before the cutoff date. A smaller block that fills is usually safer than a large block that does not.
Ask whether the hotel will send regular reports of rooms booked in the block, so the family can see early whether guests are using it.
Which bar and labor charges should be confirmed?
Confirm every charge that sits around the bar package, not only the package price.
Ask about bartender and bar-attendant fees, the number of bars and staff included, minimum spend, security requirements, service charges and gratuities, taxes on those charges, overtime rates, and rules on outside alcohol or corkage. These costs often apply per event, so multi-day weddings should confirm them for each one.
What should the contract say about welcome bags?
The contract, or a written confirmation, should state how welcome bags are received, stored, labeled and delivered, and what it costs.
Many hotels charge a delivery fee per bag and require a room list by a specific date. Confirm who distributes bags to guests arriving late, what happens to undelivered bags and whether the fee changes if bags are handed out at the front desk instead of delivered to rooms.
What access time do vendors need?
Vendors need enough access before each event to set up without rushing, and enough time afterward to break down without overtime.
Confirm load-in times, freight elevator availability, loading dock rules, setup and teardown windows, and any fees for early access or late breakdown. Décor, lighting, entertainment and catering may all need the room at once, so their access has to be planned together.
Which promises must be written into the agreement?
Anything that matters to your plan should be written down, not only discussed.
That includes complimentary items offered during the sale, room-block concessions, access times, ceremony or baraat permissions, fire rules for any havan or diya, noise and end times, and what happens if the schedule shifts.
